Detailed Description of Users
The User tile is a centralized location to view, create, and manage user profiles and settings in Utility Cloud
- Accounts — You can view and manage your accounts by selecting the pencil icon in the upper right corner of the Account panel.
- History — Your can view a log of audits related to your user profile in the History panel.
- Localization — You can view and manage language and time zone preferences by selecting the pencil icon in the upper right corner of the Localization panel.
- Roles — You can view and manage security roles by selecting the pencil icon in the upper right corner of the Roles panel.
- Role Exceptions — You can view and manage security right exceptions by selecting the pencil icon in the upper right corner of the Role Exceptions panel.
Add a User
- Select the Users tile from the Dashboard.
- Select Create. The Create a new user wizard appears.
- In the User Information panel, enter the following required fields: Full Name, Email Address, Country, and Time Zone; then, select Next.
- In the Choose Accounts panel, select accounts to assign to the user from the Available Accounts list; then, select Next.
- In the Choose Roles panel, select the roles to assign to the user; then, select Submit.
- The new user receives an email to confirm their email address, create a password, and accept the terms and conditions during their initial login. The administrator receives an email confirming the creation of a new user.
New User Email Verification
When a user is created a welcome email is sent to the user containing a link for logging in for the first time. When the user clicks the link to login for the first time, they are prompted to create their password and accept the terms and conditions. The administrator who created the user also receive an email notification confirming the user was created. If there is required information missing in the user's profile (such as time zone), the user is redirected to their profile to update the missing information. The can also update localization preferences.
Verification
If the new user does not verify their email within 15 days, an email is sent to the administrator who created the user to alert them. The administrator should contact the user to encourage them to perform the initial email verification login before the 30 day lockout.
If the new user does not verify their email after 30 days, the user is deactivated and locked out. The user must contact the administrator who created their user account before they are able to log in.
The administrator must re-activate the user, unlock them, and resend the verification email. Since the user has never logged in or verified their email they will go through the same initial user verification as a newly-created user.
User Expiration
If user does not login to the system for 630 days (20 months) the user is automatically locked out. At 620 days, the system will send them a warning email that they are going to be locked out. In order to be reactivated the user must contact the administrator who can unlock the profile.
If the user stays inactive for more than 30 days, they are turned inactive by the system.
The Unlock process does not change the user’s password. Use the login page Forgot Password if you do not remember your password.
Editing Existing Users
Edit User Profile Information
- Select the User tile from the Dashboard.
- Use the search bar to find an existing user to edit and select that user.
- Select the Pencil icon to edit the User Information panel (hover over the upper right hand corner to display the icon).
- Enter or update the user information (Required fields include: Full name, Email address, country, language, and time zone).
- By unchecking the Active button the user will become Inactive and be unable to access the system.
- Select Save to save changes to this user.
Searching for a User
Searching for Users Using Quick Search
- Select the Users tile from the Dashboard.
- Select the account drop down, and either choose All Assigned Accounts or a specific account.
- Enter the search criteria in the search bar.
- Select the search icon; users meeting the entered criteria show below.
